PRIVACY NOTICE AND INFORMED CONSENT

In compliance with Brazilian Law No. 13.709/18 – General Data Protection Law (LGPD), specifically Article 5 (XII), Article 2 (IV), and Article 4 (II, b), the Revista Nacional de Gerenciamento de Cidades clearly and transparently presents its Privacy Policy through this Privacy Notice and Informed Consent, ensuring respect for personal data throughout the editorial process.

Privacy Policy

The personal data provided through the journal’s system, such as names and addresses, will be used exclusively for purposes related to the publication’s services. These data will not be shared with third parties except for indexing in databases and directories, as stated in the Copyright Declaration.

Consent for Personal Data Processing

By submitting manuscripts, authors authorize the Revista Nacional de Gerenciamento de Cidades, acting as data controller, to perform the following operations with their personal data: collection, use, access, transmission, anonymization, processing, archiving, storage, deletion, and evaluation.

Definitions of each data processing operation

Collect: During registration, data provided by authors are recorded in the journal's database. Sensitive data is not collected. Registration is voluntary, and passwords created are personal and non-transferable.

Use: Data such as full name, institution, email address (when authorized), and academic qualification are used to provide information in published articles. These data are also considered criteria for evaluation by organizations like CAPES/Qualis and indexing services.

Email use: Email addresses are used exclusively for communications related to the editorial workflow, such as reviews, publications, special calls, and updates to guidelines. Email inclusion in the published article occurs only with explicit authorization from authors.

Access: Data are accessed during metadata reviews and updates to prevent conflicts with DOI, Orcid IDs, and Lattes CV registrations.

Transmit: To ensure digital preservation, published issues are automatically transmitted to the LOCKSS System and digital repositories via the OAI-PMH protocol.

Anonymize: During the double-blind peer-review process, any personal information present in file properties is removed using appropriate tools. Reviewer annotations on manuscripts undergo similar anonymization.

Process: Submission data are processed in XML format or directly in the system for generating DOI numbers via CrossRef, ensuring the article’s unique and persistent digital identification.

Archive: Data related to published, rejected, or archived articles remain in the database and are transferred to the LOCKSS System for digital preservation.

Store: All registration and submission data, including those related to deletion requests, remain stored within the journal’s system.

Delete: Access to registration data may be blocked, especially in cases involving plagiarism or self-plagiarism. Personal data within article properties are deleted to maintain blind review standards. Authors may request deletion of their data at any time.

Evaluate: Submission data are reviewed to ensure consistency with DOI numbers, Orcid IDs, Lattes CVs, and indexing requirements. Updates may be requested by users or performed directly in their profiles.

Use of Images in Articles

All images submitted by authors, including photographs, tables, and figures, are reviewed to ensure compliance with copyright regulations. If adequate authorization is absent, publication will be withheld.

User Consent

By submitting manuscripts, authors freely, explicitly, and transparently consent to the use of their personal data for the purposes described in this Privacy Notice and Informed Consent.

This Privacy Notice may be updated due to changes in the LGPD or the journal’s data processing practices. Changes will be clearly communicated to users.
